Participation Terms & Conditions

1.1Participation in an ALPHA Retreat is confirmed upon receipt of the required deposit or full participation fee.

1.2All payments made towards the retreat, including deposits, instalments and full participation fees, are non-refundable.

1.3Retreat places are limited. Upon confirmation, ALPHA Retreat commits resources and incurs costs associated with accommodation, transportation, activities, reservations, suppliers and event organisation.

1.4Participants are responsible for ensuring that all outstanding balances are settled by the communicated payment deadlines.

2.1In the event that a participant cancels their attendance for any reason, payments already made are non-refundable.

2.2This policy applies, without limitation, to cancellations resulting from:

2.3Failure to attend the retreat, late arrival or early departure does not entitle the participant to a full or partial refund.

2.4Participants are strongly encouraged to obtain comprehensive travel insurance, including appropriate trip cancellation and medical coverage.

3.1Subject to the organiser’s prior written approval, a participant unable to attend may request to transfer their place to another eligible individual.

3.2Any transfer must be requested in writing and may be subject to administrative charges, supplier restrictions and additional costs.

3.3ALPHA Retreat reserves the right to assess transfer requests based on the nature, availability and requirements of the retreat.

4.1ALPHA Retreat reserves the right to make reasonable adjustments to the programme, itinerary, activities, venues, transportation arrangements or participating professionals where operationally necessary.

4.2Such adjustments may arise from weather conditions, supplier availability, safety considerations or other circumstances beyond the organiser’s reasonable control.

4.3Where changes are minor and do not materially affect the overall retreat experience, they will not entitle participants to a refund.

4.4Any material changes will be communicated to participants as soon as reasonably practicable.

5.1ALPHA Retreat shall not be responsible for failures or delays in performing its obligations to the extent caused by extraordinary circumstances beyond its reasonable control, whether in the origin or destination country. Such circumstances may include:

6.1ALPHA Retreat may cancel or postpone a retreat where circumstances make its delivery impracticable, unsafe or commercially unviable.

6.2In such circumstances, participants will be informed promptly and provided with the options available.

6.3ALPHA Retreat shall not be liable for independently booked flights, personal expenses or other third-party arrangements.

7.1Participants are responsible for ensuring that they possess valid passports, visas and any other documentation necessary for travel.

7.2Participants are responsible for assessing their own health and fitness to participate in the retreat’s scheduled activities.

7.3Comprehensive travel insurance is strongly recommended, particularly coverage for cancellation, medical emergencies, travel disruption and personal belongings.

8.1Participants are expected to act respectfully towards fellow participants, organisers, hosts and service providers.

8.2ALPHA Retreat reserves the right to address conduct that materially compromises the safety, well-being or experience of other participants.

8.3Any decision to exclude a participant from activities or the retreat must be reasonable and proportionate.

9.1ALPHA Retreat shall exercise reasonable care and diligence in organising and delivering its retreats.
